Delivery, Handling & Venue Access Policy
At G-EVENTs, we strive to provide a seamless setup so your event begins on time and without stress. To ensure this, the following policy applies to all bookings regarding the delivery, installation, and removal of equipment.
1. Standard Delivery & Inclusions
Metro Area Coverage: Delivery, professional setup, and pack-down are included for all events located within the Perth metro area.
Installation Timeline: All equipment will be fully installed and tested prior to your event start time and will be removed promptly following the conclusion of the booked duration.
2. Client Responsibilities & Venue Access
To ensure a safe and efficient setup, the hiring party is responsible for the following:
Access Clearances: Arranging all necessary venue access, including keys, security codes, or staff assistance to enter the premises.
Lift & Parking: Ensuring functional lift access (if the setup is not on the ground floor) and securing approved parking for our delivery vehicles.
Point of Contact: Providing a designated on-site contact person who can direct our team to the setup location upon arrival.
3. Venue Restrictions & Surcharges
Additional fees may be incurred if the setup environment presents significant challenges. These include, but are not limited to:
Stairs: Scenarios where equipment must be carried up or down stairs to reach the setup area.
Long-Distance Loading: Locations where the loading area is more than 50 metres from the actual setup point.
CBD & Restricted Zones: Venues without a dedicated loading dock or designated loading zone, particularly in the Perth CBD.
Wait Times: Any delays or waiting time caused by venue restrictions, locked doors, or lack of access may result in additional labor fees.
4. Technical & Power Requirements
Power Supply: The client must ensure a stable, dedicated power source (standard 10A outlet) is available within 5 metres of the setup location.
Space Requirements: The client is responsible for ensuring the venue has sufficient floor space for the specific equipment booked (e.g., 3x3m for Photobooths).
Outdoor Events: For outdoor setups, the client must provide a level surface and adequate overhead protection (marquee or solid cover) to protect equipment from wind, rain, and direct sunlight.
5. Damage & Liability
Equipment Safety: Once installed, equipment must not be moved or tampered with by guests or unauthorized venue staff.
Liability: G-EVENTs is not liable for delays caused by insufficient power supply, inadequate space, or lack of venue access provided by the client.

Installation Timing: Equipment is installed prior to the event start time and removed immediately following the conclusion of the event.
Client Responsibilities: The hiring party must arrange all necessary venue access, including lift access (if required) and parking approvals for our team.
Access Surcharges: Additional fees may apply if setup involves stairs, a loading distance greater than 50 metres, or lack of a designated loading zone (common in CBD venues).
Delays: Any waiting time caused by venue restrictions or lack of access may incur additional labor fees.
2. Site & Power Requirements
To operate safely and effectively, the venue must meet these technical standards:
Power Supply: A dedicated, standard power outlet must be provided at the setup location.
Environment: Equipment must be used indoors or under suitable waterproof cover unless prior written approval is given for outdoor use.
Proximity: For the safety of the electronics, all food, drinks, and liquids must be kept away from the equipment at all times.
3. Equipment Use & Safety
The safety of your guests and our equipment is our priority:
Authorized Use Only: Equipment must not be moved, altered, or operated by anyone other than G-EVENTs authorized staff.
Guest Conduct: Guests are required to follow all staff instructions while using the equipment.
Service Suspension: Any misuse, aggressive behavior, or unsafe conduct may result in the operation being paused or stopped immediately without a refund.
4. Liability & Damages
Third-Party Liability: The hiring party is legally liable for any damage caused to the equipment by guests or third parties during the event.
Negligence: If damage occurs due to negligence or misuse, full repair or replacement costs will be charged to the hiring party.
